Letter of apology to our Patients

Dear Patients

We are very sorry to hear that our patients have been dissatisfied with our services for the past year or so. We are regretful that we have not been able to meet the requirements of patients and sincerely apologies to every one of you for any problems that you have encountered during this time.

The main concerns raised by our patients have been the 0844 telephone system and problems with appointment access.

Firstly, we are very pleased to announce that this month we have changed over to a local rate telephone number and have scrapped the old 0844 system. Our new telephone number is 01708 208669. We have also employed a new member of staff for the Reception Team and we hope that this will reduce the length of time patients spend waiting to get through to a member of the team.

As for the appointment system, we have taken a series of measures to increase the amount of appointments we have available each day. We have currently reduced appointment waiting times for a routine appointment from 6 weeks to 3 weeks and we are hoping that by September this will be further reduced to 7-10 working days.

We have changed the appointment system so that each day there are a number of on the day appointments available for emergencies in addition to the computer system releasing appointments a week in advance. This will enable people to secure appointments within 7 days. These will be available on a first come, first serve basis.

The GPs have already increased their clinic times from 2 ½ hours each morning to 3 hours with appointments starting at 8.30am and Dr Saini has increased his Friday morning clinic to 4 hours with appointments starting at 7.10am. This in effect means that each GP has an extra three appointments every day and that there are approximately 60 extra appointments each week being provided by the Partners and salaried GPs.

We have also advertised for one full time salaried GP and they should be in place by mid-September. This new additional GP to the Practice should provide an extra 120 appointments per week.

We have also employed a locum GP to provide additional cover every Monday, which will result in a further 32 appointments every Monday.

We again apologies for any inconveniences experienced last year. We hope that the increase in appointments will help ease the stress felt by both patients and staff alike, especially the reception team, who have been under a great deal of pressure to meet and deal with the demand from patients caused by the lack of appointments.

We have a request to our patients - please can you cancel your appointment if you no longer need it. At present we are losing between 260 and 280 appointments per month. Availability of unwanted appointments will further ease the pressure on our appointment system. For your convenience you can telephone the surgery when it is closed and use the facility to leave an answer machine message to cancel your appointment.

We would like to assure everyone that the actions we have taken are permanent and the problems that we encountered last year we hope never happen again.
